Overview:

Profiles on the Web is your interactive online assessment center providing you with answers to your assessment questions. Clients of Profiles International and its representatives may use this site to facilitate their assessments needs.

Profiles International, referred to as "The Information Company", is the world’s leader in the assessment industry. Profiles International, Inc. is committed to providing the best assessments and evaluations to employers, clients, and candidates.

Taking an Assessment:

To complete an assessment that you have scheduled for yourself:

  1. Click on "My Schedule".
  2. Identify the Assessment you have scheduled and click on Begin/Resume to the right of the record.

Note: If at any time during the assessment, your session is interrupted, you may return and complete the assessment at a later time. To do so, login using the user name and password that was assigned to you. Select the "My Schedule" tab from the left of the screen. After locating the interrupted assessment, select "Begin/Resume" to the right of the assessment.

Assessment Central Overview:

Assessment Central provides a central location for you to access all of your assessment needs. From here, all of your scheduling, scoring and viewing of assessments can be accomplished.

Scheduling assessments for a new candidate:

  1. From Assessment Central, select "Schedule an assessment for a new candidate...".
  2. From the Product drop down menu, select the assessment to be completed.
  3. From the Expiration drop down menu, select the number of days the candidate will have to complete the assessment.
  4. Select "Allow" or "Disallow" from the Individual Report drop down menu to allow or disallow the candidate completing the assessment to have the option of viewing his/her individual report.
  5. Select the entry method desired from the drop down box.
  6. Complete all candidate information, including creating a unique username and password for the candidate. (Example: Candidate User Name = candidate’s first initial and last name.)
    • NOTE:
      User name and password are very important and must be recorded and provided to the candidate. The candidate will not have access to complete an assessment without them.
  7. Click the "Review Scheduling" button
  8. Verify all information and click the "Save Scheduling" button. You will be sent back to the Assessment Central screen.
  9. The candidate will automatically receive an email with instructions as long as an email address is entered.

Note:  Scheduled assessments will automatically be deleted if they are not completed before the expiration date.  Candidates that have no scheduled or completed assessments 90 days after creation will also be deleted.

Scheduling assessments for an existing candidate:

  1. From Assessment Central select "Schedule Assessment for an existing user...".
  2. From the Product drop down menu, select the assessment to be completed.
  3. From the Assessed User Name drop down menu, select the user name of the existing candidate completing the assessment.
  4. From the Expiration (in days) drop down menu, select the number of days the candidate will have to complete the assessment.
  5. Select "Allow" or "Disallow" from the Individual Report drop down menu to allow or disallow the candidate completing the assessment the option of viewing his/her individual report.
  6. Select the entry method desired from the drop down box.
  7. Click the "Review Scheduling" button
  8. Verify all information and click the "Save Scheduling" button.
  9. The candidate will automatically receive an email with instructions as long as an email address is entered.

Note:  Scheduled assessments will automatically be deleted if they are not completed before the expiration date.

Setting up Self-Registration for Candidates:

At times you may want to have the candidates provide their own User information. Self-Registration allows you to create a special Authorization code for the desired Assessment. You can then have a candidate go to the site and take an assessment using the Authorization code and your User Name (Authorizing ID). The procedure is as follows:

  1. From Assessment Central select "Setup Self-Registration...".
  2. Designate a unique authorization code for the assessment/assessments to be completed by the candidates.
  3. Place a checkmark in the box next to the assessment name if the assessments are to be scored automatically upon completion by the candidate.
  4. From the Expiration (in days) drop down menu, select the number of days the candidate will have to complete the assessment.
  5. Select "Allow" or "Disallow" from the Individual Report drop down menu. This allows or disallows the ability of the candidate completing the assessment to view his or her individual report. If you select "Allow", you must also select "Auto score" in order for the candidate to be able to view the report.
  6. If you wish to receive a copy of the invitation email, then check the generate email invitation check box.
  7. Click the "Saves Changes" button at the bottom of the screen.
  8. Distribute your user name (Authorizing ID) and assessment authorization code to the candidates who will take the assessment.

After the setup is complete and if you slected the option, you will receive the e-mail instructions for you to forward to candidates.

Cancel scheduled assessments:

To cancel a scheduled assessment, go to "Assessment Central" and search for the desired assessment. From the assessment list, select the box next to the desired assessment record and click the "Delete Selected Assessments" button

Booklet Entry:

To have an Assessment entered using the booklet; you must select "booklet" for the Entry method when scheduling an Assessment. See assessment scheduling.

After completing the schedule, you can enter the answers by using either the keyboard or the numerical keypad.

When using the numerical keypad the number 1 corresponds with the answers "yes", "a", and "true".  The number 2 corresponds with the answer "no", "b", and "false".  The number 3 corresponds with "c" and number 4 corresponds with "d", etc.

For PPI and PTA, it is necessary that each group statements be marked with a 1, 2, 3, or 4. All four numbers must be used for each group, but only once per each group. When the number is entered, the cursor will automatically go to the next entry box.

Note: Auto cursor navigation is dependent upon the browser you are using. This function requires the most recent version of Java Script. The latest version of your browser can usually be downloaded from the web site of your browser provider.

After all the answers have been entered, simply click the "OK" button and the results will be saved.

Job Patterns Overview:

The Job Pattern Center located on Assessment Central allows you to perform many different functions such as modification, deletion, and creation of patterns.

For information on the application of Job Patterns, refer to the Users Guide.  It may be downloaded from the Assessment Central.

Build Job Patterns:

Job Patterns are created, by using the Build a Job Pattern function. The job pattern type can be selected from the pull-down. The Creation Method box has a pull-down from which you can select Manual, Job Analysis Survey, Concurrent, or Combination. After the method is selected, click on the "Build Pattern" button.

Manual- Allows you to select the range for all of the scales except Learning Index. The Learning Index scale is automatically calculated based on the settings of the other related scales. The range for the scales must have a span of at least 3 numbers.

Job Analysis Survey- This pattern is developed using a questionnaire about the position. The completed questionnaire is entered; if more then one survey for a job has been completed you can add another survey by clicking on "Add Survey". Clicking on "Commit Pattern" will automatically calculate the survey data and create the pattern. Note: This option is only available for the Profile Assessment.

Concurrent Study- This pattern is developed using the actual scores of individuals that have taken The Profile. You will select the names from the candidates who have completed The Profile Assessment. A minimum of three candidates is required to use this method. If you have a long list you can condense it by utilizing the two Filter options, Position and Optional code.

Note: Multiple Candidates can be selected by holding down the "Ctrl" (Control) key while making your selections. You can also select a range of Candidates by holding down the "Shift" key as you click on the first Candidate, scroll down, and then click on the last Candidate.

Combination- This method is used when you desire the input from candidate scores and the Job Analysis Survey. It combines the process of the Job Analysis Survey and Concurrent study. The method requires a minimum of one candidate and one Job Analysis Survey. Note: This option is only available for the Profile Assessment.

Change Job Patterns:

Search for the desired pattern by using the filters provided under Locate existing patterns. From the list, locate the pattern and click on Update. From there you can change the name of the job pattern; add or select a different division name or optional code. You can also change the scales by clicking on the number windows. The range for the scales must span at least 3 numbers.

For The Profile, the Learning Index scale can not be modified; it is automatically calculated based on the settings of the other related thinking scales.

Delete Job Patterns:

Search for the desired pattern by using the filters provided under Locate existing patterns. From the list locate the pattern you wish to delete. Put a check mark in the box next to the pattern and click on "Delete Selected Job Patterns".

Print Job Patterns:

Search for the desired pattern by using the filters provided under Locate existing patterns. From the list locate the pattern you wish to print and click on "Reporting".

Report Type- You will be prompted to select a report type. Depending upon your user type different reports will be available for you to select.

E-mail Report- You can select to e-mail the report and send it directly to the candidate. This allows you to save the time of downloading the report.

Generate Report- You can either send an email, if selected, or begin the download for you to view the report on screen. When you view on the screen, the report displays in its entirety and you can browse any and all pages. You have the additional option while browsing to print to the printer at any time by using your browser print function.

Score Assessments:

Assessments can be administered without any meter usage. Then, the assessments can be scored when the report is generated.

If there are no meters available, you will not be able to view the report. Once meters become available you can then view the reports and the meter will be expended at that time.

Make Reports:

From "Assessment Central", search for the desired assessment. After identifying the candidate, select the Reporting Link next to the candidate’s name.

  • Report Type
    You will be prompted to select a report type. Depending upon your user type different reports will be available for you to select.
  • E-mail Report
    You can choose to e-mail the report and send directly to the candidate. This allows you to save the time of downloading the report.
  • Generate Report
    You can either send an e-mail, if so desired, or begin the download process for you to view the report on screen. When you choose print to screen, the report displays in its entirety and you can browse any and all pages. You have the additional option while browsing, to print to the printer at any time by using your browser print function.

Batch Reporting:

Place a check next to any assessments for which you desire a report. (To receive reports on assessments, they must have a completed or scored status). After you have selected the assessments, click the "Report on Selected Assessments" button. On the report generation screen select your report type (and select a Pattern if appropriate) and click the "Send Emails" button.

Batch Printing E-mailed Assessments:

To perform this function, you must have Outlook as your e-mail program.

Select all of the e-mails you wish to print from your mailbox by holding the control key and selecting with the mouse. Once all of the files have been slected, use the mouse to right click on any of the highlighted items. Next, click the print icon on the menu that pops up. After print is selected, a print setup page will appear. Check the box in the lower left-hand corner labeled "Print attached files with item(s)". Click OK to begin printing.

Teams:

The Teams button is located on Assessment Central. Clicking this button will link you to the Team Center and allow you to perform all team functions.

Build Teams:

To build a new Team, start from Assessment Central and click the "Team" button.

Click the "Build new team" link. Next, type in the name of the team. The list of candidates that have taken the PTA will be displayed. From this list, select the name of the team leader. Next, enter the names for the team members.

Click on "Review Team" to verify the accuracy of the Team. Click on "Commit" to save the team.

Note: This function will expend 2 meters.

Update a Team:

To update a Team, from Assessment Central click the "Team" button.

From the list of teams select the one you wish to update by clicking on the link that says, "Update". The composition of the team will be displayed. Make the necessary changes, then click on "Review Team". After verifying the composition of the team, click "Commit". Remember this function will expend 2 meters.

Make Team Reports:

To print Team report, start from Assessment Central and click the "Team" button. From the list of teams select the one you wish to print by clicking "Reporting".

  • E-mail Report
    You can choose to e-mail the report and send it directly to the candidate. This allows you to save the time of downloading the report.
  • Generate Report
    You can either send an email, if so desired, or begin the download process for you to view the report on screen. When you choose "print to screen", the report displays in its entirety and you can browse any and all pages. You have the additional option while browsing, to print to the printer at any time by using your browser print function.

Import Data:

This function allows you to import patterns or assessment data.  ALl patterns and assessments must be exported before you attempt an import.  Assessments and patterns can only be imported 100 at a time.  If you have more than 100 records in one file than you will be asked to repeat the transfer until all of the files are transferred.  Once all the data has been transferred you will be returned to the assessments central page.

Importing Assessments:

To import data from your single-user software to to the "Assessment Central" link on the homepage.  Next click "Import Data" under the Additional Options menu.  Click browse to find the records you wish to import.  Once you have selected the assessment(s) the path will appear in the text box.  Click the Import Assessments button to complete the operation. .

Importing Patterns:

To import patterns, go tot the "Assessment Central" link on the homepage.  NExt, click "Import Data" under the Additional Options menu.  Click browse to find the patterns you wish to import.  Once you have selected the pattern(s) the path will appear in the text box.  Click the Import Patterns button to complete the operations.

Export Data:

This function allows you to either export Job patterns or assessment data.

Export Patterns:

The job pattern export allows  you to select the patterns you wish to export so that you can import them into the Profiles Assessment Center single user software.

Select the Job patterns you wish to export, click on the "Export" job patterns button. Using the File download window, select the save to disk option. Choose the path to where you wish to save the file.

Once the file is saved it can then be used to import to the Profiles Assessment Center software.

Export Assessments:

The Assessment export allows you to select the assessments you wish to export so that you can use the data for statistical analysis or import the data into the Profiles Assessment Center single user software.

Select the type of assessment you wish to export. Select which records you would like to export:

  • ALL
    Will export every assessment record for the type of assessment selected.
  • SELECTED
    Provides you a list of assessments to choose which records you want to export.
  • NOT YET EXPORTED
    Will export every record that has never been exported.

Export Type - Select the type of export desired:

  • Import
    will format the data to be imported into the Profiles Assessment Center single user software.
  • Analysis
    will format the data to an ASCII format or database. The Export file can be used to import the records into a spreadsheet program for the purpose of information collection and analysis.

Backup:

Please note that it is NOT necessary for you to back up your information. All of the Data hosted by Profiles on the web is backed up daily.

Transfer Tests:

"Transfer Tests" is used to transfer a scored Candidate(s) record(s) either from PPI to PTA or from PTA to PPI. Transferring a test will use a meter unit.

From Assessment Central select either Transfer Assessments from PPI to PTA or Transfer assessment from PTA to PPI.

Select one or more Candidates that you wish to Transfer and then click the "Transfer" button.

Note:The only assessments available for transfer will be assessments that have been scored. A meter will be expended for every assessment you transfer.

Tip! Multiple Candidates can be selected and transferred all at one time by holding down on the "Ctrl" (Control) key while making your selections. You can also select a range of Candidates by using the Shift-Click method.  To perform this function, click on the first candidate, then hold down the Shift key while clicking on the last candidate.

Candidate Match Report:

This report is for use only with candidates that have taken The Profile. It allows you to select one Job pattern and compare any number of candidates to the Job. The report will list in descending order which candidate has the best match to the Job Pattern.

To generate this report go to Assessment Central and click on "Candidate Match Report". You will need to select from the list of Candidates that have taken The Profile. Then you will need to select the Job Pattern you wish to compare them to.

  • E-mail Report
    You can select to email the report and send it directly to the email address selected. This allows you to save the time of down loading the report.
  • Generate Report
    You can either send the email, if selected, or begin the download for you to view the report on screen. When you view on the screen, the report displays in its entirety and you can browse any and all pages. You have the additional option while browsing to print to the printer at any time by using your browser print function.

My Schedule:

My Schedule lists the assessments that you have been scheduled to take. This screen will display the name of the person or organization that has scheduled this assessment for you. It identifies the Profiles assessments that have been scheduled for you and the status of these assessments.

Additionally, this page displays when the assessment was originally scheduled, and shows the link that is used to begin taking the assessment.

If during the assessment your connection to this site was terminated for some reason, you will come to this page and use the same link to resume the assessment.

Please remember that all assessments listed on this screen are scheduled for you to take.

Users:

The list represents the users that are listed under your account. The "User List" shows information regarding ALL Candidates. It is sorted by last name. For accounts that have a large number of users there is the ability to filter by the type of user. There is also an option to search archived users.  Filter options are displayed in the "Show" pull down field.

User contact information is also displayed. Clicking on "user name" will allow you to edit candidate information.

Delete User:

To delete a user, select their name in the box next to their name and click on the "Delete Selected Users" button.

Please remember that once you release them from your list, you will not be able to retrieve them.

Archiving and Restoring Users:

Archiving users allows you to clean up your database.  Once a user is archived they will not show up under a normal search.  There is, however, a button in the filter options to allow you to search your archived users.  To archive a user you must perform a search of un-archived users.  Once you find the user(s) that you wish to be archived, put a check in the box beside their name and then click the "Archive Users" button.  If you wish to restore an archived user then you must perform and archived users search and select the users you wish to restore.  After the users are selected press the "Restore Users" button to complete the operation.

Create New Candidate:

Candidates can be added by selecting the "Create New Candidate link". This function is usually done when setting up new candidates to take an assessment. This screen allows you to create the profile for a candidate, which will make scheduling easier when you choose to do so in the future.

Edit Candidate Information:

All information regarding a candidate, except User Name, can be modified. Just click on their "user name" to display their user Profile in edit mode.

Note:If you change the password for a candidate, you must notify them of the new password or they will not be able to access the site.

Meters Overview:

Client users are allowed to purchase assessments from this site or from your Profiles Representative. The scoring of assessments is controlled by the use of the scoring unit called a "Meter".  All of our assessments require one meter for scoring. They can be scheduled and even taken without meter consumption; but to view the assessments’ report a meter is required. The process of building a team report will expend 2 meters.

The meter account screen is the list of your meter account balances and allocations. You can also purchase meters from this screen. It will require a valid credit card for that transaction.

Meter Detail Log:

"Details" displays all meter activity for the product selected. The information displayed includes whom they were received from; how many meter units were involved for each transaction; and a running total of meter units available. The log includes any scored assessments.

The meter unit activities displayed in the Meter Detail Log are:

  1. "PURCHASE" - this entry designates meter units that were purchased from the site.
  2. "TRANSFER" - this entry designates meter units that were transferred either to or from your account.
  3. "ASSESSMENTS SCORED" - this entry designates meter units that were used to score an assessment. It shows when meter units are used to build or change a Team in the Profiles Team Analysis application.

Note: To print a Meter Detail Log report, use the print function of your browser.

Glossary:

  • User Name - two to twenty-five characters in alphanumeric code used to identify a client or candidate.
    Note: Store information in a secure place.
  • Password - four to twenty characters in alphanumeric code established by the client for security purposes. Limits access to scheduling, scoring, and viewing candidate assessments. Note: Passwords are case-sensitive.
  • Candidate - type of user with privileges limited to the ability to complete scheduled assessments.
  • Client - type of user with the privileges of scheduling, scoring, and viewing assessments
  • Authorization Code - four to twenty characters in alphanumeric code established by the client that is unique to each of the available assessments. This code allows the candidate to take an assessment for a client. The candidate MUST have an Authorizing ID and an authorization code provided by the client to enter the website and register to complete an assessment.
  • Authorizing ID - the user name of the client that is allowing a candidate to take an assessment. The candidate MUST have an Authorizing ID and an Authorization code provided by the client in order to enter the website and sign up to complete an assessment.
  • Existing Candidate - candidates who have completed the registration process and have a unique user name and password. This user name and password will allow the candidate to resume an interrupted assessment or complete additional assessments.
  • Auto Score - Is an option that can be used when setting up Self-Registration for candidates. If selected it will automatically score any completed assessments and they will be ready for viewing. If it is not selected, assessments can be completed but will not be scored until the client selects the reporting function.
  • Option Code - Is a database field available to the user for filtering. The field is available in two locations. One is within the Assessment record; two is in the Job Patterns record. The contents of these fields can be modified at any time.
